A form says two items in the quantity field, but the message asks for four. Staff use the field to prepare a quote while another person reads the message and plans for four. Both followed an answer from the same submission.
When conflicting WordPress form answers leave the intended value unclear, preserve both statements and ask one precise question. Identify which decision depends on the difference. Keep that decision pending until staff resolve the answer.
Identify a real disagreement
Different wording does not always mean conflicting facts. A company name and a trading name can both be correct. An old address and a new delivery address may describe different locations. First check what each field asks and whether the message supplies that context.
A real conflict occurs when two answers describe the same thing in ways that cannot both guide the same decision. Quantity two versus four for the same requested item is a conflict. Billing and delivery addresses being different is not, if their purposes are clear.
Name the conflicting detail rather than label the whole entry invalid. The rest of the request may still contain useful work. Keep unrelated review moving when it does not depend on the disputed answer.
A clear self-correction is different. “Correction: four units of that item, not two” states which value replaces the earlier one. Staff check that it concerns the same item and follow their existing confirmation rules. Ask again only if intent remains unclear or those rules require it. Preserve the earlier wording.
Keep both statements in the review record
Write the field label and supplied value alongside the relevant sentence from the message. Add the original submission reference. Staff should be able to verify the disagreement without relying on a summary of a summary.
Show the disagreement as a short note linked to the original submission:
Quantity field: 2. Message: “Please quote four of the same item.” Quote quantity unresolved.
Avoid a default rule that the structured field always wins or the last sentence always wins. Either may contain a typo or outdated wording. The input normalization guide covers formatting changes that preserve meaning. Resolving two different meanings requires clarification.
Ask one question that resolves the decision
For the quantity example, staff can review this neutral question before sending it through their ordinary contact process:
You entered two in the quantity field and asked for four in the message. How many should we use for this quote?
Do not suggest which answer seems more plausible or combine the question with unrelated background requests. Include the item reference if needed. W3C’s input validation guidance recommends letting people check and correct their input. That principle supports a clear clarification step; it does not decide which answer is true.
If the visitor replies with a third value, record the confirmed value and retain the earlier statements. If they do not answer, keep the dependent decision open. Use the existing follow-up routine rather than invent a timeout that approves one answer automatically.
Use AI to flag the conflict for staff
Sentient Forms Entry Summary can condense submitted information into a review aid. Configure the summary to preserve two conflicting statements and mark the decision unresolved. Compare it with the original submission before acting.
The Missing Information Review action also covers unclear answers and follow-up questions. Use its proposed question as a staff-reviewed draft. Test your specific conflict examples before relying on the review.
These actions do not determine which statement is true, change an order or approve a quote. A human confirms the answer and updates the business’s ordinary working record. The review brief guide explains how to keep submitted facts and suggested next steps separate.
Sentient Forms supports Gravity Forms, Contact Form 7, WPForms, and Elementor Pro Forms. For after-submission review with Contact Form 7, WPForms, and Elementor Pro Forms, enable the Sentient Forms Submission Ledger. Native entry features vary by builder. Check the current plugin listing before planning where staff will review results.
Make the confirmed answer usable
Record the resolved value, its source, the staff recorder and the work affected. Keep the original submission intact. A fictional note in your existing task or quote record might read:
Confirmed quantity: 4. Source: visitor reply to request R-104. Recorded by: intake coordinator. Affected work: draft quote for item A-10. Earlier quantity: 2.
This is a staff note in the system the team already uses. Before releasing dependent work, check its existing draft. A quote prepared for two needs review if four is confirmed. Check any delivery instruction or customer reply that used the earlier value too.
One person should check that affected staff receive the correction. The submission owner guide helps establish that responsibility. A corrected review note alone does not prove that a quote or downstream task was corrected.
Test conflict handling and false alarms
Use fictional submissions with explicit expected outcomes:
- Unexplained two-versus-four conflict: quote quantity stays pending.
- Billing and delivery addresses differ: no conflict when their purposes are clear.
- Clear correction for the same item: retain the earlier answer, use the stated correction under the existing confirmation rules.
- An unclear correction: staff ask which value is intended.
Then use the team’s normal email or task process to test a third confirmed value and no reply. Retain earlier statements when a third value is confirmed. With no clarification, dependent work stays pending. Compare the original record, review aid, working record and affected draft.
For a fixed period, record the total submissions staff reviewed. Count confirmed conflicts, harmless differences incorrectly flagged and affected drafts corrected after clarification separately. Use the same review scope for a later comparison. Fewer flags could mean missed conflicts, so also check a sample of unflagged entries.
Frequently asked questions
Do not assume it should. Preserve both statements. A clear correction may establish the visitor’s intended answer under the existing confirmation rules. Otherwise ask which value should guide the dependent decision.
No. Keep the decision that depends on the disputed fact pending. Unrelated review can continue when it does not rely on that answer and the normal business process permits it.
Entry Summary and Missing Information Review prepare staff review aids. They do not establish which statement is true or confirm a business decision. Test the configured review and have a person resolve the conflict.
Try a fictional submission with one conflicting detail. Make the disagreement visible, review the clarification question and check that dependent work stays pending until staff record the answer.
